Key Features

Patent Management Software

The Deadlines Calendar provides a clear overview of all upcoming internal deadlines, keeping users organized and on track. With intuitive color-coding for different types of deadlines, it’s easy to prioritize tasks immediately. The Legal Software Suite also allows seamless synchronization with personal Google and Outlook calendars, ensuring your deadlines are accessible anytime, whether on your phone, tablet, or desktop.

The Dashboard offers a graphical interface that delivers at-a-glance visibility into key performance indicators (KPIs) related to trademark ideation processes. It serves as a progress overview of trademark and brand requests submitted by the business team.

The Company module is designed to capture and manage detailed information for all group companies whose teams initiate trademark or brand requests. By centralizing company data, the module enables seamless retrieval at various points in the application, ensuring uniformity and accuracy of information throughout the system.

The application enables categorization of entire portfolios based on the organization’s divisions and sub-divisions, ensuring a well-structured data view. Access rights to division-level portfolios can be restricted according to user-defined permissions

The software enables secure storage, processing, and retrieval of complete patent information—including documents and deadlines—from the initial filing of a patent application through publication, grant, and renewal annuity payments. All data is maintained in a centralized patent repository, ensuring streamlined, efficient, and smooth workflows for law firms.

It also supports management of patent opposition matters by storing, processing, and retrieving all relevant information, deadlines, and documents from the filing of an opposition through counterstatements, evidence submissions, and hearings. This centralized approach further simplifies and enhances law firm operations.

The software provides an automated process flow throughout the entire life cycle of a patent application using a specially designed Law Engine, ensuring accuracy, efficiency, and consistency at every stage.

A centralized docketing system allows users to access, store, and manage all documents, deadlines, and application details from anywhere, at any time.

Users can bulk import Intellectual Property application data using the Excel import feature and replicate applications across multiple jurisdictions with ease.

New Intellectual Property application dockets can be created using the “Add New Case” option, allowing users to capture essential details such as application information, applicant data, priority claims, and related information.

The system supports docketing of all forms filed with the Intellectual Property office. Users can export individual form PDFs or download all forms together in a single ZIP file. Filing deadlines for pending forms can be tracked, and reports can be generated to monitor outstanding submissions.

Various document types—including Evidence of Use, Power of Attorney (POA), and General Power of Attorney (GPA)—can be docketed within the system. These documents can be exported individually as PDFs or collectively in a ZIP file.

The software also manages formality examination failure reports by automatically generating reply to deadlines. Users can export individual or multiple examination reports in PDF format and generate reports showing pending replies as well as completed responses, enabling better tracking and compliance management.

The software enables you to record all received examination reports along with their corresponding response deadlines for submission to the IP Office. It allows exporting individual examination report PDFs or downloading all reports together in a single ZIP file. Team members can also generate reports showing pending examination responses as well as those that have already been completed.

Keeping track of and managing upcoming hearings can be challenging. With this, users can simply generate a report of upcoming hearing deadlines—such as those scheduled within the next 30 days—review the list and plan their schedules accordingly.

After attending hearings, paralegals at law firms are required to file written submissions with the IP Office. It helps paralegals monitor and manage these upcoming filing deadlines efficiently. Users can generate reports for pending written submissions related to specific hearings and export these reports to Excel for further review.

The software also enables users to record all orders or decisions received from the IP Office. Users can download individual order or decision PDFs or export all such documents together in a single ZIP file.

Publication is a critical milestone in the patent lifecycle. The software allows users to record publication details, including the publication number and publication date, along with the publication document. Users can generate reports of publications received for a specific company or division/sub-division within a patent portfolio. Individual publication documents or all publication copies can be downloaded as a ZIP file. Upon recording a publication, the system also automatically calculates the opposition period deadline in accordance with patent rules.

Patent grant represents the final stage of the patent application process, establishing the patent’s validity period, which typically ranges from 7 to 20 years or more depending on the jurisdiction. The software allows users to record grant certificate details, including the patent number and grant date. Reports of granted patents can be generated based on company, division/sub-division, or a selected date range. Users can download individual grant certificates or all grant certificates together in a ZIP file.

Payment of patent annuities is a crucial post-grant activity, as renewals must be made annually or at specified intervals in most jurisdictions. Timely notification to divisions or sub-divisions about upcoming annuity deadlines is essential. The software assists by retrieving details of all upcoming annuity or renewal payments for a selected period. Once the renewal or annuity payment certificate or intimation letter is received, users can record it in the system, marking the renewal as completed. This automatically updates the next renewal due date for the following year(s). Users can also download individual renewal or annuity documents or export all related documents in a ZIP file.

The software also provides controlled access to external IP agents and attorneys, allowing them to manage and maintain the Intellectual Property portfolios assigned to them. Role-based permissions ensure that external counsel can add relevant documents, deadlines, and details while adhering to predefined access levels.

The system provides a centralized repository for storing key instructions related to all industrial design applications, ensuring quick and easy access for authorized users.

Users can record and manage all critical deadlines associated with industrial design applications within the docket. Once a deadline is completed, it can be closed with a specified reason for completion. The platform allows users to view detailed deadline information, assign responsibility to specific users, and communicate deadlines to divisions or sub-divisions with a single click using pre-defined email templates.

The software offers comprehensive summary reports covering all industrial design applications, including rectification and cancellation details. These reports can be refined using a wide range of filter criteria to extract specific information. Users may also customize the report output by selecting only the required columns before exporting the data to Excel. For detailed review, users can directly navigate from the report to the corresponding case.

Through deadline reporting, users can generate lists of approaching deadlines within a chosen time frame. These lists can be filtered using multiple parameters and exported to Excel as needed. Deadlines can be closed directly from the report with an accompanying reason. Users can view additional application details by clicking the arrow icon or by navigating directly to the relevant case for deeper analysis.

The document reporting feature allows users to retrieve lists of documents recorded in the system for selected date ranges using multiple filtering options. Documents can be downloaded individually or exported in bulk as a ZIP file. For example, users can easily download all registration certificates for a particular company or division within a specified period. To review document-related details, users can navigate directly to the associated industrial design case.

Synchronize your trademark applications with IP Office data using our AI-powered engine, which continuously tracks the latest status updates, documents, and deadlines published by the IPO. The AI engine compares existing trademark records with official IPO data and automatically updates deadlines based on any changes, making the entire docketing process autonomous, fast, and free from manual entry errors.

It allows users to configure recurring variables once in the master’s so that they can be used across the software to reduce the efforts of typing the values repeatedly. It also makes the software scalable by avoiding hardcoded variables to dynamic variables. Further, it maintains the variable contents uniform throughout the software making filtering of data accurate.

The platform allows users to define and manage recurring variables within master settings, enabling consistent reuse of values across the system. This reduces repetitive data entry, enhances scalability by replacing hardcoded values with dynamic configurations, and ensures uniformity of data for accurate filtering and reporting.
